About the Role
Valley Vital Medicine is growing, and we are looking for a friendly, dependable, and detail-oriented Medical Receptionist to join our team.
This role is much more than answering phones or checking clients in. Our Medical Receptionist is often the first person a client speaks to and one of the first faces they see when they walk through our doors. We are looking for someone who understands the importance of making every client feel welcomed, cared for, heard, and supported.
The right person for this role will be warm, professional, organized, and aligned with our values: Led by Christ, Clients First, Innovation, Root Cause, and Integrity. This person should genuinely enjoy helping people and be excited to support a clinic that is working to disrupt healthcare through a more personalized, whole-person approach.
Schedule
- This is a full-time position working 32+ hours per week:
- Monday–Thursday, 8:00 AM–5:00 PM -
- Schedule may vary based on clinic needs.
Key Responsibilities
- Answer, screen, and route phone calls in a professional, warm, and friendly manner
- Greet clients and visitors with kindness and help create a welcoming clinic experience
- Determine the nature and purpose of each visit and direct clients appropriately
- Schedule appointments and maintain/update multiple appointment calendars
- Answer general client questions about Valley Vital Medicine services, products, payment policies, and clinic processes
- Support prospective clients by helping them understand next steps and guiding them to the appropriate team member when needed
- Collect payments and record receipts for services and products
- Maintain accurate and updated electronic medical records
- Help explain payment policies and identify payment sources when needed
- Handle client information with confidentiality and follow applicable privacy/HIPAA guidelines
- Support administrative tasks such as filing, data entry, proofreading, records management, and document preparation
- Assist with client communication through the EHR, phone, mail, or other approved methods
- Help maintain a clean, organized, peaceful, and welcoming lobby/reception area
- Assist with inventory counts and related processes as needed
- Attend weekly team meetings
- Support other clinic needs and duties as assigned
Qualifications
Required:
- Strong written and verbal communication skills
- Friendly, service-oriented attitude
- Strong attention to detail and organization
- Ability to handle sensitive and confidential information
- Strong time management and prioritization skills
- Comfortable with computers, technology, Google Workspace, spreadsheets, and electronic health record systems
- Ability to perform clerical and administrative tasks accurately
- Flexible, dependable, and willing to help where needed
- Team player with a self-motivated attitude
- Alignment with Valley Vital Medicine’s mission, vision, and values
Preferred:
- 2–3+ years of experience in a healthcare, clinic, hospital, or medical office setting
- Experience using an electronic health record system
- Experience with scheduling, payment collection, and front desk/client service workflows
- Experience in functional medicine, integrative medicine, wellness, or a cash-pay healthcare setting is a plus, but not required
